GCC Annual General Meeting 2020

Dear Members,

We are pleased to invite all our Full Members to the Annual General Meeting ("AGM") of the German Chamber of Commerce, Hong Kong ("GCC") will be held on Wednesday, 25 November 2020 at the offices of German Industry & Commerce Ltd/GCC.

Due to the COVID-19 outbreak and in order to safeguard the health and safety of all our members, the Board of the GCC has decided that the AGM will be held in the form of a hybrid meeting, in which members may participate electronically in the AGM in conjunction with a physical meeting.

The GCC has maintained the principle that even when members cannot attend the AGM, they should always be able to vote for the Board members of the GCC directly by means of a paper ballot. Therefore, this year's arrangements for holding the AGM are as follows:

(A) I will attend the AGM

• in person (at the offices of GIC) - refer to Explanatory Note 1; or
• virtually (via a unique access link sent to you on 24 November 2020) - refer to Explanatory Note 2

(B) I am not able to attend the AGM

• I will appoint a proxy - refer to Explanatory Note 3
• I will NOT appoint a proxy - refer to Explanatory Note 4

Explanatory Notes:

1. If you are attending in person, no further action is required from you and we look forward to welcoming you at the AGM on 25 November 2020
2. If you are attending virtually, we will send to your email address a unique link for you to access the AGM electronically
3. If you are unable to attend the AGM but WISH to appoint a Proxy to represent you at the AGM, please complete the PROXY and BALLOT FORM. Please appoint your Proxy and complete section 2 of the form to exercise your vote for the Directors of the Board of the GCC. Your Proxy will only be able to vote on your behalf for those resolutions which do not relate to the election of Directors.
4. If you are unable to attend the AGM and DO NOT wish to appoint a proxy, please complete the Ballot part (section 2) of the PROXY and BALLOT FORM in order to exercise your vote for the Directors of the Board of the GCC.
5. Please send the PROXY and BALLOT FORM back to NO LATER THAN 5:00 pm on 23 November 2020.

Remarks:

• For members joining the AGM virtually, access link will be sent 1 day before the AGM. The session will be conducted via GoToWebinar.
• GCC is closely monitoring the COVID-19 situation. Health precaution and social distancing measures will be taken into account. Members attend in person are required to fill out the Health Declaration Form prior to the AGM.
• GCC reserves the right to change this hybrid meeting into a complete virtual event depending on the development of COVID-19 outbreak in Hong Kong.
